PA/Office Administrator

Reporting to: Chief Executive, Campaigns Director (and Deputy)
Holidays: 4 weeks, plus 4 days Christmas-New Year office closedown
Salary: Commensurate with experience

Job Type:
The PA role provides administrative support to directors; dealing with correspondence/visitors; assist with management of projects; liaison with internal and external contacts. The Office Administration role provides basic office day-to-day management and services in the areas of household, cleaning, health & safety, fire, supplies, security, and personnel administration, etc. Demanding environment.
Duties include:
- To work in close co-operation with directors and staff to ensure smooth information flow to and from directors.
- Support and assist the Chief Executive and Campaigns Director/Deputy Campaigns Director in the organisation and execution of campaign and fundraising activities, as necessary.
- Support and assist in the management of the ADI group of organisations, as requested.
- Dealing with correspondence; telephone messages.
- Board meetings: taking minutes of meetings, printing off, filing, indexing; distribution of board papers; liaison with board members; maintaining records of grants; organisation of meetings and refreshments.
- Company Secretarial: Assistance to Chief Executive with Company Secretarial matters as directed.
- Opening and distributing department mail; maintaining mail logs; alerting directors to key information.
- IT/Network Administration (liaison with outsourced IT consultants only)
- Personnel records/administration (attendance records)
- Office Management:
- Liaison with building management, maintenance/security matters
- Office equipment, purchasing, maintenance & household supplies
- Health and Safety (liaison with outsourced HR consultant)
- supervision of receptionists/junior staff/volunteers etc.
Qualifications and Qualities:
- Educated to degree level or equivalent.
- Min. 2 years PA experience, preferably at senior level.
- Good IT/internet skills, particularly Word, Excel, Powerpoint and Access.
- Good organisation and time-management skills.
- Excellent communication skills – written, oral and presentation.
- Self motivated, with total commitment to the aims and objectives of ADI.
- Flexible, positive approach to work; responds well to demanding environment.
- Team player, supportive of others.
- Vegetarian preferred.

Press and Publications Assistant
Job Title:Press and Publications Assistant
Location: London, UK
Reporting to: Public Relations Officer
Holidays: 4 weeks, plus 4 days Christmas-New Year office closedown
Salary: Dependant upon qualifications and experience
Closing date: 1st August 2008
Job Type:
Media relations; assisting Public Relations Officer; distribution of press information; celebrity liaison. Graphic design – production of magazines, reports, leaflets and other materials, as well as website uploading. Demanding environment.
Duties include:
- Assists PRO with media dimension of campaign planning and development, fundraising, and other activities.
- Assists with celebrity supporter liaison, and maintains databases.
- Distribution of press releases, statements, media packs as directed.
- Back-up to PRO with monitoring of 24-hour management of press line.
- Provides ADI video and photographic material to media; arranges copyright release (administration of copyright).
- Not a media spokesperson.
- Publications work – production of magazines, reports and other literature, as directed (from design to print).
- Updates media section of ADI/NAVS/LDF websites.
- Liaison with external agencies, e.g. printers, couriers.
- Maintenance of media activity logs, reports, press office filing.
- Assists other departments and other tasks as requested.
Qualifications and Qualities:
- Suitable for college leaver, some on-the-job (not IT) training will be given
- Trained on QuarkXpress – this is essential – applicants without proven Quark training will not be considered.
- Website design training helpful, but not essential.
- Some public relations experience is useful, but not essential.
- Good IT/internet skills.

Volunteers
We are always looking for volunteers to help out with a variety of administrative tasks at our head office.
We are currently looking for volunteers in the London area to help out in several areas: data entry, fulfilling supporter orders for leaflets, etc, reception work/answering supporter queries, research library and filing. Whether you can give us a couple of weeks, or a half day a week, or even a couple of hours in the evening when we have our Thursday volunteer night, everything that you can do will help. If this sounds as if it may interest you, please get in touch as soon as possible.
